IT outsourcing for companies

IT support for companies — IT you no longer have to think about

We work remotely across Poland, and on site in Bydgoszcz and the surrounding area: an IT helpdesk for your staff, Microsoft 365 support, network administration, backups and security in one monthly contract with an SLA. Managed IT services that take the owner out of the role of company IT technician.

No commitment. We start with a short conversation about how IT works in your company today and end with a proposed scope and price.

Accountability for IT

IT support for companies starts with who takes IT on

If your company has no IT department, IT is usually nobody's actual job. It is looked after by whoever has the admin password — alongside their real work, with no budget and no time to plan anything. As long as nothing breaks, that looks like a saving. It stops looking like one on the day something stops working and it turns out nobody was responsible for keeping it working. That is what IT support for companies is: moving responsibility for IT to an outside team, rather than buying one repair after another.

The arrangement you have now costs something too — it just never shows up on an invoice. That cost is scattered across the hours when work stands still and the evenings the owner spends working out why email has stopped. Nobody adds it up, because there is no line in the books to add it to. Handing IT to an outside team does not make that cost disappear — it makes it visible. IT stops happening in the gaps between other jobs and becomes an area with someone in charge of it, and a place in the budget.

Why an outsourced IT department

What a company gains from managed IT support

Fast response to incidents
Most requests are resolved remotely; when a problem requires being at the hardware, we come on site in and around Bydgoszcz, within the visit scope set in your agreement. Response times for each level of urgency are written into your SLA, not left to goodwill.
Proactive monitoring and maintenance
Updates, backups and check-ups run on a schedule, not after the damage. Monitoring tells us about most problems before your staff notice them.
One dedicated IT partner
You talk to someone who knows your environment, your accounts and your history, not a different technician every time. No ticket lottery, no explaining everything from scratch.
Documented infrastructure
We keep an inventory of devices, accounts, licences, the network and access. The company is not hostage to anyone's memory — not ours, and not a departing employee's.
A predictable monthly arrangement
The scope and a fixed monthly fee are agreed up front, in writing. Everyday questions from staff do not turn into hourly invoices, and you know in advance what IT costs each month.
Cybersecurity and backups
Multi-factor authentication, endpoint protection and backups we test by actually restoring them — because a backup nobody has ever restored is just hope.

Who it is for

Managed IT support works best for companies that do not want to hire their own IT person, yet cannot afford to have work stop because of a computer, the mail or the network.

01Scope of support

What managed IT services cover

IT support for companies in one contract: an IT helpdesk for staff, Microsoft 365 support, network administration, servers and backups, security, and order in licences and documentation. Six areas with one team accountable for all of them — no bouncing between suppliers.

02How we work together

From the first conversation to ongoing support in seven steps

Every step ends with a concrete result you can assess before we move on. You sign the contract only once you know exactly what you are getting and for how much.

  1. Initial consultation

A short, free conversation about how IT works in your company today: what gets in the way, what worries you and what you expect from an external IT department. No slide deck, no obligation.

You get: You know whether and how we can help, and what happens next.

  2. IT audit and infrastructure review

We review the environment: computers, accounts, Microsoft 365, the network, backups and security settings. Remotely, and on site where needed. It is a review of configuration and risk, not an inspection of your staff.

You get: An honest picture of your IT: what works, what is a risk, and what needs attention first.

  3. Findings and recommendations

We go through the results in the language of decisions, not technology: which risks are serious, what can wait and what needs doing now. Recommendations come in writing, ranked by their impact on the business.

You get: A written summary of the risks and a proposed order of work.

  4. Proposal and SLA

Based on the audit we propose a scope of support, a plan and a fixed monthly fee. The SLA sets out severity levels, response times and how problems are reported, so both sides know what to hold each other to.

You get: An agreement with a clear scope, fee and response times.

  5. Onboarding and documentation

We take over access, tidy up accounts and administrative credentials, and switch on monitoring and backup oversight to the extent agreed in the contract. Everything is written down: devices, licences, network, access, vendors.

You get: A documented environment with monitoring running, from the first weeks.

  6. Ongoing support and monitoring

Your staff report problems through one channel and we resolve them under the SLA. Updates, backups, check-ups and monitoring run in the background, and you hear from us when something needs a decision.

You get: IT that works in the background, and one partner accountable for all of it.

  7. Continuous improvement

Knowing the company from the inside, we see where time is lost to manual work: data retyped between systems, reports stitched together in spreadsheets. That is when we propose an automation, an integration or a small application, and say plainly when it would not pay off.

You get: Improvement proposals with the reasoning, and the decision always yours.

03Free IT audit

Start with a free infrastructure review

Before we propose a scope and a price, we check how IT works in your company today: computers, mail, the network, backups and access. You receive a written summary with priorities — whether or not you decide to work with us.

  • Backups and recovery

What is backed up, where and how often — and whether anyone has ever checked that it restores.

  • Microsoft 365 configuration

Email, sharing and security settings, licences, and what is still running on the defaults.

  • Accounts, permissions and MFA

Who has access to what, who holds administrator rights, and whether accounts are protected by a second factor.

  • Network architecture and firewall

Network segmentation, router and firewall settings, the guest network, remote access — and whether anyone knows the router password.

  • Endpoint security

Protection of the computers, disk encryption, operating system updates, and who works from an administrator account day to day.

  • Software and licensing

Outdated or unsupported software, missing or surplus licences, and applications nobody knows are there.

  • Inventory and documentation

Whether there is a current list of devices, accounts, licences and vendors — and where it is written down how it all works.

  • Onboarding, offboarding and single points of failure

How staff are onboarded and offboarded, whether former employees still have access, and what happens when one person, one device or one password becomes unavailable.

What you receive after the audit

  • A concise written summary of the risks, ranked by their impact on the business
  • Concrete recommendations: what to change, why, and with what effort
  • A proposed order of work — from what threatens a stoppage to what can wait
  • If you want one — a proposal for ongoing support with the scope and monthly fee

The audit is a configuration and risk review, not a penetration test. It takes a few hours of remote work plus one conversation, and commits you to nothing.

04Support plans

Three plans, one rule: a fixed monthly fee

You choose the level of support that matches how much your company depends on IT. The plans differ in response priority, the scope of monitoring and how much work we do ahead of time, before anything breaks — the details are in the comparison table below.

What the price depends on

Number of users
How many people use support, accounts and licences — the main variable in any proposal.
Number of devices
Computers, laptops, printers, network equipment and everything else that needs updating and monitoring.
Infrastructure complexity
One office on Microsoft 365 is a different job from several locations, a VPN and specialist software.
SLA expectations
How fast we must respond at each severity level, and during which hours.
On-site requirements
Whether remote help is enough, or regular visits in and around Bydgoszcz are needed.
Server and cloud environment
Servers, NAS, virtualisation and cloud services that have to be maintained and secured.

We prepare the proposal after the audit and consultation — as a fixed monthly fee for the agreed scope. No hourly billing and no surprises on the invoice: if the company grows or the scope changes, we update the contract rather than adding lines to the bill.

05The SLA

What exactly we commit to in the contract

The SLA is part of the contract, not decoration in a proposal: we define what counts as a critical outage, an urgent request and a standard one, and assign a response time to each level. Below are the rules it runs on.

Request levels

  1. Critical

The company or a key department cannot work, or there is a real risk of losing data.

    Examples

    • Email or Microsoft 365 is down for everyone
    • A server, network or internet failure across the office
    • A suspected break-in or ransomware

    What happens first

The request takes precedence over everything else. We start by securing data and restoring work, on site if needed, and keep you informed until the matter is closed.

  2. High

One person or one process cannot work, but the rest of the company runs.

    Examples

    • A key employee's computer will not start
    • The printer that dispatch depends on is out
    • A locked account or no access to an important file

    What happens first

We handle it ahead of standard requests, usually remotely. If the fix takes time, we find a workaround so the person can work before the problem is resolved for good.

  3. Standard

The matter is a nuisance or needs planning, but nobody is stopped by it.

    Examples

    • A new account or workstation for an employee
    • Installing a program, changing permissions, a question about licences
    • Minor faults with a workaround

    What happens first

Handled in order and at a time agreed with you; anything disruptive is scheduled outside your busiest hours.

Current contract terms

  • Standard request: we respond within 3 working days.
  • Urgent request: we respond within 12 hours.

These are the current standard contract terms for ongoing support — a contractual commitment, not a best-effort promise. The IT Business and IT Critical plans receive individually agreed, shorter response windows written into the SLA.

06More than maintenance

We do more than keep IT running. We improve the way your company works.

The team that looks after your computers and systems every day sees where staff lose time to manual work. The same team designs and builds software — so it can fix that, rather than only note it.

  1. Starting point

We start with what we were hired for: computers, Microsoft 365, the network, backups. The company finally has someone accountable for it.

  2. What we notice

A few weeks in, we notice staff copying orders by hand from the online shop into the accounting system — every day, with the kind of errors nobody enjoys hunting down.

  3. The result

We build an integration between the two systems. Orders flow on their own, hours of manual work disappear, and copying errors stop existing. The same IT, put to better use.

What we have built for the companies we support

  • Internal applications

Tools for orders, jobs or stock where off-the-shelf software does not fit how the company works.

  • Dashboards and reporting

One screen with current numbers instead of a report someone assembles by hand from several spreadsheets every week.

  • API integrations between systems

We connect systems that do not talk to each other: the shop with accounting, the CRM with email, production with the warehouse.

  • Automated workflows

An invoice reaches the right person, a job changes status on its own, and a reminder goes out without anyone having to remember.

  • AI tools

Document processing and assistants that work on your company's own data — where they save hours, not just where they look good.

  • Data integrations

One source of truth about customers, products and stock, instead of three databases that disagree.

  • Mobile apps and client portals

An app for staff in the field, or a portal where a customer checks the status of their order instead of calling.

  • Process automation

Repetitive office chores — retyping, copying, sending — turned into processes that run themselves.

07Questions and answers

Common questions about managed IT support

It is ongoing IT support in which we take on everything an in-house IT department would: a helpdesk for staff, Microsoft 365 administration, the network, servers and backups, security and monitoring. The difference is that instead of salaried positions there is one agreement with the scope and response times written into the SLA, and one partner who knows your company answers for the whole. We work remotely with companies across Poland, and on site in and around Bydgoszcz.

Companies of 5 to 100 people with no IT department of their own, where computers, accounts and the network are needed for work every day: offices, law firms, clinics, service, trading and manufacturing businesses. They usually come to us when "the person who knows computers" can no longer keep up or leaves, when Microsoft 365 has grown beyond anyone's control, or when a client or an insurer starts asking questions about security.

One salaried person has one specialism, holidays and a notice period — while a company of 5 to 100 people needs expertise from several areas at once, only not full time. Under ongoing support you get the helpdesk, Microsoft 365 administration, the network, backups and security in one agreement, with documentation that stays in the company and continuity that does not depend on someone's holiday. When the company grows into its own IT department, we hand it a tidy environment — and we will say plainly when that moment has come.

Support is billed as a fixed monthly fee, agreed before the start and written into the agreement. The amount depends on the number of users and devices, the complexity of the environment (servers, branches, industry systems), the plan and the SLA response times you choose, and how much of the work is to happen on site. We do not publish a price list, because each of these factors changes the scope — after the free audit you get the scope and the fee in writing.

We start with an audit: a review of hardware, accounts, network, backups and security, and a conversation about what hurts the company most. Then we take over access and document the whole environment — inventory, passwords in a vault, a network diagram, the licence list — so that no information stays in someone's head. In parallel we open the helpdesk for staff and switch on monitoring, and the urgent items from the audit, usually MFA and backups, are dealt with first. At the end you get a summary of the state of IT and a plan for the months ahead.

Every request is given one of three severity levels — critical, high or standard — and for each of them the SLA sets a response window that depends on the plan you choose. Those windows are a contractual commitment, not a best-effort promise. Current standard terms: a response within 3 working days for standard requests and within 12 hours for urgent ones; on higher-priority plans the windows are set individually in the agreement. The channel for urgent reports is available 24/7. Requests outside a standing agreement are handled as availability allows, and we always say plainly when we can realistically get to a problem.

The basics that stop the typical incidents in small companies: multi-factor authentication on every account, endpoint protection and patching, backups tested by restoring them, tidy access revoked on the day someone leaves, and hardening of Microsoft 365 and the network. The free audit we start with is a configuration and risk review, not a penetration test — if your industry requires one, we will help you scope it and choose a specialised firm.
